About the opportunity

Reporting to the Pre Analytics and Special Projects Manager, the role of Pre Analytics Administration Assistant is responsible for covering a variety of administrative tasks such as Recollects, Helpdesk & Domiciliary bookings. Additionally, this role assists with incoming departmental calls and general administrative tasks as required.

This involves a wide variety of tasks and a degree of initiative and input is welcomed and expected as well as the ability to take direction and follow instructions.

Duties include:

  • Admin support duties as required and in keeping with operational requirements;
  • General operational support for Pre Analytics staff;
  • Answering and responding to incoming departmental calls;
  • Preparation and distribution of stationery orders for all collection centres;
  • Other duties as required;
    • Help Desk duties including:
    • Assisting collection staff to interpret request forms;
    • Troubleshooting collection enquires;
    • General enquiries;
  • Assisting with admin tasks and collection services offered at Western Hospital;
  • General administration duties;
  • Management of domiciliary bookings via Apollo
  • Working with the domiciliary plotter to effectively distribute domiciliary work
  • Answering and responding to incoming calls regarding domiciliary services

Applicants should possess the following:

  • Proficiency in the Microsoft Office suite with intermediate or advanced skills in Excel;
  • Ability to prioritise work and meet deadlines;
  • Demonstrated attention to detail;
  • Experience as a Phlebotomist;
  • Demonstrated excellent customer service and interpersonal skills;
  • Proven ability to work independently and identify efficiencies and improvements;
  • Polished and professional telephone manner;
  • Ability to communicate in a concise and articulate manner;
  • Ability to work in a team environment and, when required, to work autonomously; and
  • Ability to interpret instructions and provide feedback to ensure systems, procedures and processes are maintained at the highest standard.
