JOB DESCRIPTION

SPOT4YOU & SPOT4KIDS is a Speech Pathology and Occupational Therapy service offering services to both adult and paediatric clients. Our therapists are primarily mobile, servicing clients in their school, day care, nursing home or home environments and are located throughout NSW, QLD and VIC. SPOT4YOU & SPOT4KIDS also manage Home Support Assessments under the My Aged Care program as well as a host of other new national allied health assessment programs.

We are currently seeking an experienced Executive Assistant to provide administrative support to our CEO and her team in a busy home office environment located in Yamba.

Responsibilities will include:

  • Assisting Office Manager with all Regional Assessment Services (RAS)/My Aged Care (MAC) processes including accepting and allocating referrals to assessors, working within the MAC portal, liaison with lead organisations and assessors, data entry, monitoring and reporting through specific software programs
  • Managing client paperwork
  • Answering emails
  • Responding to phone calls
  • Ensuring the home office runs smoothly on a day-to-day basis
  • Assisting Office Manager with other administrative tasks in relation to new health projects as the role evolves

The successful candidate will have a friendly, approachable personality, be responsive, use initiative and be proactive in troubleshooting any issues that may arise in this fast paced environment. We are looking for a reliable and motivated individual who has the ability to work with deadlines and a willingness to learn new skills with a can-do, problem solving attitude.

Skills and expertise required:

  • Strong Microsoft Office skills
  • Previous EA/PA/administration experience
  • Impeccable customer service and professional phone manner
  • Excellent verbal and written communication skills with the ability to deal with the needs of internal and external stakeholders
  • Exceptional time management, organisation and attention to detail
  • Team player who can work autonomously and with minimal direction
  • Demonstrated ability to work in a dynamic environment, responding flexibly to meet changing needs, priorities and deadlines
  • Ability to read situations and predict what might be needed next
  • Driver’s licence
  • Previous experience in an allied health/medical environment is not essential but highly desirable

Hours/Days:

This role will initially be 4 days per week on a casual basis (must be able to work on Fridays, but other days are negotiable), with a view to potentially becoming permanent part time/full time in the future, after a review period.

Salary:

$35.00 per hour

As the business is primarily mobile, most of the day-to-day contact is by phone and/or email, therefore excellent communication skills and the ability to work independently are essential. The successful applicant will need to be comfortable working in a home office environment, where everyone pitches in and gets the job done.
