is a fast growing Supports and Care Services provider supporting clients in the community with a vision to contribute our part in making lives better under NDIS (National Disability Insurance Scheme) Practice Standards. We are currently servicing a large number of clients providing a wide range of supports and services. While we are growing and expanding in to providing new services and to additional more number of clients, we have a new opening for Full Time Position / Role (office based).

For this exciting and rewarding new position, we seek a well organised, highly motivated and enthusiastic team player with strong communication, attention to details and time management skills to join hands with our office administration team to manage day to day tasks relating to clients and bookings management.

The tasks and operations associated with this full time role are to be carried out from our office location in South Morang VIC 3752.

  • Responding to emails and phone calls
  • Keeping notes from all client communication on client files
  • General Administrative and secretarial support
  • Making and keeping meeting notes for that between management & staff meetings
  • Prepare documents including reports, client correspondence
  • Sending out Service Agreements and Contracts to clients and relevant parties
  • Scheduling and assigning jobs for clients with relevant notes
  • Scheduling and assigning appointments on Calendar for relevant people
  • Daily coordination with staff, contractors, customers and suppliers
  • Assisting with obtaining quotes from contractors where necessary
  • Following up clients for performance feedbacks
  • Follow up with service contractors on relevant and necessary updates
  • Generating & submitting Quotations and Invoices
  • Providing personal assistant support to the managers
  • General ad hoc office administration tasks & errands as periodically required from time to time
  • Following up leads for new work enquiries
  • Filing and following up on incidents, complaints and other relative reports
  • Periodically updating necessary staff documents on records


  • Strong verbal, written and interpersonal communication skill with fluency in English language
  • Professional, polite and proficient with customer interactions & communications
  • Administration experience and skill to carry out necessary tasks in timely and efficient manner
  • Ability to meet deadlines - take self initiative - time management skills - work autonomously and with team members
  • Accurate attention to details for records or notes keeping and investigating details on client files
  • Proficient in using computers with good working knowledge of MS Office, internet, CRM software systems, internet browsing & performing data searches
  • Have a sense of self initiative, understanding importance of time management and ability to multi task
  • Knowledge of NDIS & Aged Care sector, and previous experience working in health care industry will be preferred but not necessary
  • Must have appropriate working rights to work in Australia
