About the Client:

The ACHS is a not for profit authorised accreditation agency with the Australian Commission on Safety and Quality in Health Care. They are authorised to accredit healthcare organisations and hospitals using the National Safety and Quality Health Services Standards (NSQHSS).

About the Role:
 
As the Project Coordinator, you will assist the ACHS International team to coordinate the administration and logistics of virtual and hybrid accreditation assessments across Asia Pacific & Middle East.

This coordination of assessment is highly process driven and will see you; set up and support with Zoom, undergo technical practice sessions prior to assessment days, set up & mange SharePoint, present and introduce on the day of assessments, as well as note take scoring and recommendations. Accreditation assessments can take place over 2 to 5 days between Sunday and Friday.

In addition, you will also provide general administration support to the team including meeting coordination, minute taking and developing welcome pack to hospitals and healthcare organisations (known as members.)

Due to the nature of working with international countries this role requires you to work various changing shifts. You MUST be flexible to work 40 hours per week and in return will receive 1 RDO/Roster Day Off per month. Shifts are listed below;
 

  • 9:00am to 5:00pm (Sydney)
  • 11:00am to 8:00pm or 12:00pm-9:00pm (Asia Pacific)
  • 2:00pm-11:00pm or 3:00pm to 12:00am (Middle East)

About the Person:
 
The ideal candidate must be flexible to work ever-changing hours each week to meet the demands of the scheduled assessments however, you will know these in advance a you will be managing the schedule.

You will demonstrate strong coordination skills with an ability to deliver on strict deadlines. You must be self-motivated and quick to think on your feet in challenging situations (especially during technical or IT errors). ACHS pride themselves on providing a positive customer experience, therefore professionalism and a passion for customer service is essential. You must also be confident in your communication, both written and verbal, to present to a virtual crowd.

This role would suit someone with a background in healthcare, aged care, hospitality, retail, or contact centre. A secondary language preferably Asian is highly desirable.

Duties include but are not limited to: 

  • Coordinating all logistics (pre, during, post) of virtual and hybrid accreditation assessments including but not limited to:
    • Zoom set up, scheduling, and logistical support
    • SharePoint set up and management
    • Assist, train and guide assessors and members
    • Coordination with internal and external stakeholders
    • Respond to queries and resolve issues as they arise during virtual assessments
  • Scheduling meetings and minute taking
  • Acting as secretariat for the International Team meetings and other working group meetings

  • An interest in healthcare, safety & quality, and international operations
  • Experience in project management, planning, and deliverable implementation
  • Passion for customer service and professionalism
  • Excellent strong attention to detail and accuracy
  • Self motivation to work autonomously but also collaboratively in a team
  • Organisational skills to manage competition priorities
  • Strong I.T skills and computer literacy including MS Office suite
