Role: Senior Coordinator, Office of the Deputy Secretary (31 December 2021)

Position Summary:

The Senior Coordinator will work closely with the Principal Strategic Adviser to coordinate and track the Deputy Secretary's priorities, corporate reporting, briefings, and cyclical activities.

Working within a dynamic and fast-paced environment, the Senior Coordinator will support the Deputy Secretary and the stream Executive Group to ensure rapid actions are appropriately managed and closed out.

Additionally, the Senior Coordinator will undertake a range of discrete projects on behalf of the Principal Strategic Adviser and provide surge support to the stream's teams as required.

Responsibilities:

  • Role model and promote the Department's values
  • High-level coordination and tracking of executive, policy and governance priorities including briefings, correspondence, steering committee papers and submissions
  • Coordinate and manage various requests, ensuring they are actioned and closed out
  • End to end project management of discrete and confidential projects on behalf of the Deputy Secretary or her delegates
  • In partnership with the Principal Strategic Adviser, coordinate and project manage forums, meetings and workshops
  • Build and manage collaborative and cooperative stakeholder relationships across the Department, broader public sector and with external experts and maintain these relationships in a busy work environment
  • Provide surge support to the stream's teams and functions as and when required
  • Coordinate and triage high volume correspondence and briefings, preparing draft memos, briefings, responses and escalating high-priority issues as they arise
  • Work closely with staff within the branch to ensure timely resolution and processing of matters
  • Undertake research, investigation, review and general analysis of issues as required
  • Maintain a sound understanding of government processes and compliance obligations, political sensitivities and the complexities of the current operating environment, ensuring all work is undertaken according to confidentiality and privacy requirements
  • Plan, organise and execute relevant tasks to support corporate service delivery needs
  • Keep accurate and complete records of work activities in accordance with legislative requirements and the department's records, information security and privacy policies and requirements.
  • Other duties as required by the Deputy Secretary, Principal Strategic Adviser and/or the broader stream Executive group
