About the role

This role is responsible for supporting the Parramatta Mission Project Lead, undertaking a range of complex and confidential tasks. The main focus of the role is the provision of timely and professional administrative support and coordination of organisational tasks to ensure the efficient running of the project. The role also assists the project team, to track and monitor activities and assist with project management.

Duties and responsibilities:

  • Maintain a high standard of conduct and work performance based on Uniting’s values to promote our reputation with key internal and external stakeholders
  • Ensure integration and collaboration across Uniting programs to deliver seamless and impactful end to end services with the customer at the centre

 As the Project Support Officer, your role specifically will:

  • Contribute towards the efficiency and effectiveness of the Parramatta Mission Project.
  • Deliver efficient and effective management of administrative and secretarial support to the Project Lead including; managing incoming and outgoing communication; drafting and editing correspondence’ communications; presentations; reports and other documents.
  • Coordinate diary management, meetings, travel, events and other tasks as required.
  • Coordinate the logistical arrangements for all meetings convened by the Project Lead including minute taking, agenda preparation and monitoring of actions.
  • Collate and compile information and prepare documentation and correspondence to support information flow and inform decision making.
  • Work with other Uniting functions and teams to ensure coordination across the organization, avoiding duplication, standardizing on efficient processes and delivering continuous improvement.
  • Provide the Project Lead and other team members all relevant information to facilitate appropriate preparation for all meetings, projects and priorities.
  • Assist with project activities providing; information and data management, tracking timelines, preparing updates and communicating with stakeholders regarding project status and implementation issues and requirements.
  • Undertake basic research and analysis and contribute to preparation of briefs to support decision making and planning for the project.
  • Undertake administrative tasks as required, including photocopying, distribution of mail, filing, shredding and general support as requested by Project Lead
  • Undertake communication responsibilities as required, including telephone, personal and written correspondence and general liaison within Uniting and with other agencies and the wider community on behalf of the Project Lead
  • Ensure that all activities and operations within the scope of responsibility are performed in accordance with the allocated budget and policy guidelines
  • Participate and comply with all quality management systems and processes
