Purpose of the Position

The primary purpose of this position is to provide efficient reception services to CBCHS dental clients & staff and to undertake associated administrative activities. The position works as part of the CBCHS Dental team and contributes to the continuous improvement of service delivery.

These roles are 0.6 EFT and based at Parkdale.

Key Responsibilities

Your Contribution Includes

Reception

Deliver polite, efficient reception / customer services to clients, visitors, practitioners and staff;

Answer phone calls efficiently in an empathetic and professional manner. Screen, action or redirect calls as appropriate;

Perform front desk operations which include but are not limited to:

Make appointments and answer enquiries

Accurate client billing, EFTPOS payments and receipting

Processing of Medicare,

Banking of reception payments

Perform start and end of day reception procedures;

Book emergency dental appointments on a priority basis as outlined in the Dental Unit policy and procedures;

Enter appointments into the appointments module of the client database and confirm with clients a day prior to the appointment.

Ensure that the reception area is neat, presentable and friendly;

Provide receipt for fees received from clients;

Balance cash drawer on a daily basis, and forward money to accounts department for banking;

General Administration

Assist dental staff in maintaining medical records and enter client contact information into the database;

Scan medical records and documents;

Print off day sheets for next day’s appointments and confirm appointments;

Process CDBS consent forms and payments;

Prepare and send out waitlist and recall letters;

Assist the dental team with word processing and photocopying, ensuring that appropriate standards are met in terms of presentation of documents and timeliness of completion;

Order stationery items for the dental team and ensure that adequate stationery supply is maintained;

Receive and promptly distribute mail to the appropriate staff member;

Ensure that office equipment, such as photocopiers, facsimile machines, audio-visual equipment etc is maintained in working order and arrange repairs as required;

Assist Practice Administrator in school promotion activities including calling up institutions, designing and sending promotional information, inputting data and booking appointments;

Other duties as directed by the Practice Administrator.

Key Selection Criteria

About You

You will have demonstrated experience in a Dental Reception role in either private or public practice, with experience in a community health practice being highly regarded.

We are looking for someone with well-developed communication skills (written and verbal), including the ability to liaise with families, carers and other professionals from a diverse range of cultures and backgrounds.

You will also be required to demonstrate focus on service excellence with a demonstrated commitment to delivering high quality outcomes for clients.

Your ability to work flexibly and adapt to changing situations, as well as the ability to work well as part of a team will ensure success in this role. Strong organisational skills/time management skills and the ability to follow directions will also be an asset to this role.
