Latrobe Regional Hospital (LRH) is the major provider of specialist health services in the Gippsland region, east of Melbourne.  Our comprehensive range of services extends to emergency and intensive care, elective surgery, allied health, obstetrics, medical and radiation oncology at the Gippsland Cancer Care Centre, dialysis and aged care.

LRH has a number of outstanding facilities following a recent expansion. These include a cardiac catheterisation laboratory, large Emergency Department, endoscopy suites and modern and contemporary inpatient units. These complement extensive Allied Health amenities including a gym and pool.

LRH is the regional provider of mental health services in Gippsland. LRH Mental Health Service operates an integrated specialist mental health program across the region and provides inpatient and community mental health care for adults, children and young people and older persons.

An exciting opportunity has arisen for an experienced and suitably qualified Senior Administration Officer (Cancer Services) to join the Consulting Suites Teamteam at Latrobe Regional Hospital on a Part Timebasis.

Reporting to the Business Manager the successful applicant will work with the Gippsland Cancer Care Centre to support regional operations across the Gippsland cancer network.

The successful applicant will be required to:

  • Attend all cancer multidisciplinary team meetings (MDM) and provide administrative support

  • Prepare and distribute MDM agendas, including liaising with clinicians to ensure minimum data set is present in referrals

  • Ensure meeting room bookings and teleconference arrangements are in place for MDMs

  • Record clinician MDM attendance

  • Act as super user for QOOL-Vic software

  • Participate in QOOL-Vic state-wide user group

  • Provide training in QOOL-Vic software to new clinicians

  • Ensure new clinicians have completed confidentiality agreements necessary for MDM software use

  • Provide annual attendance and meeting utilisation reports

  • Distribute MDM recommendations to patient nominated GPs and HIS at treating health service

  • Process MBS billing for MDMs

  • Participate in MDM auditing processes, when required

  • Identify quality improvements to MDM operations

  • Maintain an overview of the daily operations of the Consulting Suites ensuring appropriate administration support and effective communication is provided

  • Foster and maintain cooperative working relationships with medical staff, visiting Specialists and other stakeholders in consultation with the Business Manager

  • Deputise for the Business Manager as required

  • Scrutinise appointment bookings to ensure appropriate bookings and confirmed appointments

  • Assist with the coordination and monitoring of processes and procedures within the consulting suites to ensure day to day KPI’s and efficiency targets are met

  • Assist with the oversight of effective management of electronic records, patient/client referrals, LRH and visiting specialist files in accordance with LRH and Consulting Suites procedures

  • Provide support and supervision to the Consulting Suites administration team ensuring a team focus on customer service

  • Perform a range of administration, reception, word processing and data collection duties as part of the Consulting Suites team

  • Provide regular communication to the Business Manager on matters relating to the functions and efficiencies of the Consulting Suites

  • Undertake other duties and activities as identified and required by the Business Manager that are within the scope and skill consistent with the position

  • Co-ordinate OH&S inspections

To be successful in this position you will need to have:

  • An excellent knowledge of contemporary office procedures, clerical systems and file management.

  • Demonstrated expertise in the use of Microsoft Office applications particularly MS Word, Excel and Outlook. Experience using Health specific /or client databases would be an advantage.

  • Highly developed interpersonal, negotiation and communication skills.

  • Proven ability to build and maintain a high-functioning, cooperative and a cohesive team environment.

  • Ability to use initiative, oversee a range of functions and actively problem solve to facilitate best possible outcomes

  • Ability to work autonomously with highly-developed time management skills in a complex and busy environment

  • Demonstrated ability to identify opportunities to identify and implement system improvements and efficiencies. 

  • Possess a well-developed understanding of and commitment to, a consumer centered service.
