Role: Project Officer (one role until 31 December 2021, the other role until 30 June 2022)

Position Summary:

The Project Officer provides a wide range of administrative and secretariat support to the Director and Executive team of CEL.

Key responsibilities of the role include:

  • Supporting and coordinating recruitment activities such as the preparation of position descriptions, maintenance of the organisational chart and liaising with HR to ensure recruitment processes are efficient and in accordance with departmental policy.
  • Support the onboarding of new staff members by arranging IT accounts, building access passes, monitoring the completion of required induction modules and overall onboarding experience.
  • Support the offboarding of staff by ensuring the completion of required departure documentation, return of DH assets and deactivation of IT accounts where applicable.
  • Assist in the preparation and presentation of reports, ministerial briefs, cabinet and agency submissions on a range of matters.
  • Arranging meetings and conferences, including coordinating papers, organising venues, catering, agendas, taking minutes and follow-up actions and making travel and accommodation arrangements

Responsibilities:

  • Effectively manage office processes and maintain corporate information systems for records management, financial information, fleet management, client payments and ministerial correspondence as required.
  • Answer queries, provide timely advice and take follow up action as required, including correctly redirecting incoming mail and queries.
  • Operate as an effective branch member in a team environment and deliver quality, timely and effective customer service to managers and staff within the branch.
  • Identify improvements and contribute to the development of new systems and processes in collaboration with the relevant subject matter experts across the department, to identify the most appropriate solutions.
  • Keep accurate and complete records of your work activities in accordance with legislative requirements and the department's records, information security and privacy policies and requirements.
  • Take reasonable care for your own health and safety and for that of others in the workplace by working in accordance with legislative requirements and the department's occupational health and safety (OHS) policies and procedures.
  • Demonstrate how the actions and outcomes of this role and work unit impact clients and the department's ability to deliver, or facilitate the delivery of, effective support and services.
  • Operate in a complex and demanding environment and be willing to actively adopt new responsibilities
